"We did the single-session inventory after my father passed on and we could not find several key documents. The session itself took about three hours. By the end, we had a clear list of where everything was supposed to be, and the few gaps were noted as things to follow up with the relevant agencies. It was calm, and the facilitator did not make the experience feel rushed or clinical."

"I enrolled my parents in the four-session programme. My mother has kept records going back to the 1970s — passbooks, letters, old land certificates — and we were not sure what was still valid and what was purely sentimental. Provenance helped us log everything without pressing us on the 'what does this mean' questions. The heritage catalogue was something we did not expect to value as much as we did. My mother read through it twice."

"We are in the second year of the annual programme. The quarterly sessions are short — usually about an hour — but they catch things. A new insurance policy, an updated utility account, a change in who holds the property documents. Small things individually, but when they are not logged, they accumulate into confusion. The records folder we have now is something I would not trade for any amount of post-hoc sorting."

"What I appreciated most was the clarity about what Provenance does and does not do. The facilitator was explicit from the start: she was there to help us note and organise, not to advise. That meant we could open boxes of old documents without worrying about what she might think or recommend. Everything stayed in our hands. The output — a single page — was more useful than I expected because of how clearly each category was labelled."

"The four-session programme took about two months, as described. The sessions were spread out, which I found helpful — it gave us time between meetings to dig out things we had forgotten about. One session ran longer than planned because we found a box of correspondence from the 1980s that needed to be catalogued. The facilitator did not rush us. The heritage catalogue we received at the end is something I intend to give to my children."

"We used the single-session programme first, just to see what the process was like. Six months later, we enrolled in the annual programme. The difference is in the upkeep. Our records folder from the single session was accurate when produced, but things had changed by the time we reviewed it. With the quarterly check-ins, the folder stays current. The closing review each December is particularly useful for thinking about the year ahead."

CASE NOTES

Three household situations, noted in detail

CASE NOTE — 01

A three-generation household in Georgetown with no documented records inventory

SITUATION

Three generations living under one roof. Papers from different eras and categories stored across multiple rooms with no shared understanding of what existed or where. On two occasions in five years, documents needed for official purposes could not be located in time.

PROGRAMME TAKEN

Four-Session Records and Heritage Programme. Sessions spaced over eight weeks. The heritage catalogue element was particularly relevant given the three-generation span of papers in the household.

OUTCOME

One-page inventory covering fourteen categories. Heritage catalogue spanning 1953 to present, noting records held by each generation. Three family members now know where each category lives and who is responsible for it.

"The heritage catalogue was not something we expected to move us. But reading my grandmother's name in a properly formatted document — with her records noted alongside ours — felt like something that had been owed for a long time."

CASE NOTE — 02

A recently widowed household needing a rapid first-pass inventory

SITUATION

Following bereavement, the household needed to understand the range of documents in the home before consulting relevant professional advisors. A clear inventory was needed quickly but without pressure to interpret anything on the day.

PROGRAMME TAKEN

Single-Session Records Inventory. Conducted at the household's premises within two weeks of the enquiry. The facilitator worked through the standard twelve document categories, noting custodians and reference channels for each.

OUTCOME

One-page inventory handed to the household at the close of the session. Three category gaps identified and noted with the relevant government registry channels. The household was able to proceed with professional consultations with a clearer picture of what was on hand.

"It helped enormously to have a single sheet of paper I could hand to each professional I was meeting. The inventory did not tell them what anything meant — but it told them what was there. That was exactly what was needed."

CASE NOTE — 03

A household transitioning from the four-session programme to annual maintenance

SITUATION

After completing the four-session programme in early 2024, the household found that new papers were accumulating without a scheduled review process. By the end of 2024, the original inventory had several gaps and an outdated custodian note for a key category.

PROGRAMME TAKEN

Annual Library Programme, commencing January 2025. The setup session updated the inventory and heritage catalogue from the four-session baseline. Quarterly check-ins have since kept both current.

OUTCOME

Inventory and catalogue current as of May 2025. Two new document categories added; one custodian updated. The household notes the quarterly sessions take on average 75 minutes, which they describe as minimal effort for the clarity sustained year-round.

"The four-session programme did the heavy work. The annual programme keeps it from accumulating again. Both were necessary."
