OUR STORY

How Provenance came to be

Provenance began in Penang in 2019 when its founder, a long-time practitioner of archival organisation, noticed a recurring situation in local households: rooms containing decades of accumulated papers — land titles, passbooks, family correspondence, certificate folders — none of it labelled, and no household member certain of what was there. The papers were important. They were simply not arranged.

The response was a simple programme: sit with the household, work through each category of document together, and produce a one-page record of where everything lives and who manages it. Nothing was interpreted. Nothing was taken. What remained was a map — handwritten, practical, and theirs.

Over subsequent years the programme expanded to include a heritage cataloguing element. Many households, working through their papers for the first time, discovered letters, photographs, and administrative records spanning multiple generations. It seemed natural to log these alongside the working documents — not as an academic exercise, but as a coherent family record that future members could read and add to.

Today, Provenance offers three structured programmes from its base at 27 Lorong Universiti A in Gelugor, Penang. Each programme is facilitated in person, at the household's premises. The work is entirely organisational and curatorial. Provenance does not hold, copy, or retain any household document, and does not advise on legal, financial, or professional matters.

MISSION

What we hold to, session by session

Non-advisory throughout

We note and log. We do not interpret documents, offer professional counsel, or make recommendations on what a household should do with any paper. That boundary is held in every session without exception.

Documents stay with the household

No original paper leaves the household's possession during or after any session. Provenance does not scan, photograph, copy, or retain any document. All records produced during the programme belong to the household.

Patience as method

Records work cannot be hurried. Sessions are paced to the household's rhythm, with no pressure to cover more in a sitting than feels comfortable. The programme progresses when the household is ready.

A record that echoes forward

The heritage catalogue is designed to be readable by people who were not present when it was compiled. Clarity, plain language, and an orderly structure mean the catalogue holds its value across generations.

HOW WE WORK

Protocols that hold across every session

Written Programme Agreement

Every engagement begins with a written scope of work, confirmed in advance. The household knows exactly what the programme will cover and what it will not.

Document Non-Retention Policy

Provenance does not retain originals, photographs, scans, or copies of any household document. All inventory and catalogue records are produced by and for the household only.

Strict Non-Advisory Boundary

No session includes interpretation of documents, drafting of legal papers, or professional advice of any kind. This boundary is not adjusted on request — it is the foundation of the programme.

Privacy by Default

Household information noted during sessions is used only to facilitate the programme. It is not shared, sold, or referenced outside the engagement. Our privacy practices are detailed at privacy policy.

Session Confirmation in Writing

Each session is confirmed via written correspondence at least three working days in advance, with a clear note of the session's scope and any materials the household should prepare to hand.

Clear Rescheduling Terms

Households may reschedule any session with at least two working days' notice. Rescheduling terms are set out in the programme agreement and hold across all three programme types.

OUR APPROACH

Records curation as a household discipline

Household records management in Malaysia is often deferred rather than addressed. The typical family home holds a wide range of papers across different legal and administrative categories — property documents, identity papers, savings and investment statements, education certificates, correspondence with government agencies — and the management of these papers is rarely centralised or systematically noted. When a family member passes on, or when a major life event requires locating a particular document at short notice, the absence of an organised record can become genuinely disruptive.

Provenance addresses this gap not by acting as a legal or financial intermediary, but by facilitating the household's own organisation of its papers. The work is practical and conversational. A session involves the household working through categories of paper in a structured sequence, noting where each category is held, who among the family is the primary contact for it, and which official channel can be consulted if clarification is needed. The output is a one-page inventory — compact, readable, and kept by the household.

The heritage catalogue, offered through the four-session and annual programmes, extends this discipline into the longer arc of family history. Many households discover, as they move through their papers, that they hold records spanning two or three generations — birth notes, correspondence from distant relatives, photographs with partial captions, land records from the pre-independence era. These are worth logging. The heritage catalogue is a structured document in which these records are noted and cross-referenced, giving the household a coherent account of its own story.

Provenance operates from Gelugor, Penang, and facilitates all sessions at the household's premises. The practice is small by design. Each programme is taken seriously, and no more sessions are scheduled than the team can facilitate with care.
